SUMMARY

The primary purpose of this position is to provide administrative and data support for the physicians/research staff who have their clinical trials on the APOLLO platform. May provide other related support as assigned by the Scientific Project Director. Finds solutions to problems related to assigned projects through research and troubleshooting. Establishes standards for respective programs and reports on progress. Provides complex administrative and laboratory operational support to the Adaptive Patient-Oriented Longitudinal Learning and Optimization (APOLLO) Platform within the Department of Translational Molecular Pathology (TMP) and the Division of Pathology and Laboratory Medicine.

JOB SPECIFIC COMPETENCIES

Research Project Identification and Management

Identify and conceptualize project ideas with faculty. Revises protocols as directed or required and composes the correspondence accompanying the revisions. Prepare workflow/logistics for sample collections following protocol specifications, and by communicating with the sponsors, Principal Investigator and other stakeholders. Design and develop data collection instruments and standard operational procedures (SOPs). Responsible for presentation of workflows and overseeing them as assigned. Ensure that protocol specifications regarding sample collections are adhered by the study coordinators. Submit amendments to protocols as needed. Must have excellent verbal and written communication skills in corresponding with physicians, PIs, administrative staff and other members of the project team. .

Data Management

Procures pathology material and maintains data according to mandatory standards and protocol compliance. Processes, organizes, and schedules samples for distribution to other internal laboratories, including histology, immunohistochemistry, and molecular, as well as external testing facilities. Tracks sample collections and processes using institutional bioinformatics tracking system and databases. Train personnel on use of new database systems developed for APOLLO. Develop new processes to present and manage the enrollment and quality assessment data obtained for various studies under the APOLLO platform.

Liaison Collaborator

Serves as liaison between laboratory personnel, clinical and research investigators, collaborating departments, institutions and pharmaceutical companies. Coordinates sample collections at Interventional Radiology (IR), Operations Room (OR), Clinical Translational Research Center (CTRC), Diagnostic Lab, Endoscopy Suite, Mays Clinic, and other labs at MD Anderson. Also, coordinates sample processing and quality assessment at Institutional Tissue Bank (ITB) and the Research Qualification Specification Laboratory (rBQL), sample analyses at Translational Molecular Pathology - Immuneprofiling Laboratory (TMP-IL) and distribution for downstream analyses to other Moon Shot Platforms, departments and collaborators. Provides guidance to clinical research staff, research nurses, and principal investigators at MD Anderson and at other institutions on how to complete sample submissions in compliance with the stated guidelines.

Maintains contact with other institutions participating in studies and coordinates submission of the data

Coordination and Planning

Maintain documentation of lab capabilities and services. Ensures project documents are accurately maintained and initiates follow up on stalled projects. Coordinate APOLLO projects by prioritizing, planning and initiating project kick-off meetings, milestone completion and project completion documentation

General Administrative Duties

Assist the Scientific Project Director and department managers with various tasks to include:

  • Schedule meetings with internal and external department PIs and staff
  • Assists Scientific Project Director in preparation of budgets for projects
  • Special projects and departmental events
  • Prepare bimonthly, quarterly and annual progress reports
  • Order supplies
  • Provide tracking lists regarding all protocols, sample collections, submissions, revisions, and continuing reviews.

Multi-center coordination Maintains contact with other institutions participating in studies and coordinates submission of the data

Professionalism Maintain a level of professional expertise, credibility, and appearance.

Collaboration Be prepared to participate in protocol or section-specific research meetings

Technical Skills Demonstrate proficiency in performing data management for assigned protocols using appropriate programs (e.g. ROADS, Excel, Mosaiq, TrialDB, TissuStation, ARMADA, Statistical Analyses).

Other duties as assigned

Bachelor's degree in a related field. Preferred education: Master's degree in a related field. Two years research study experience. May substitute required education degree with additional years of equivalent experience. With preferred degree, no experience required.
