Job Description:

The Program Coordinator will plan, coordinate, and implement designated programs in the department, with emphasis on the Bone Disease Services Program. Assist the Bone and Mineral Disorders Section Chief with planning and implementing all initiatives, involving bone disease services activities, financial operations, and strategic planning. Collaborate with faculty and staff at multiple departments and academic institutions, including Baylor College of Medicine and UT Health Science Center on MDA joint initiatives of the Rolanette and Berdon Lawrence Bone Disease Program of Texas (BDPT). Manage education materials and coordinate seminar series, special events, advisory board meetings, clinical and research programs related to Bone Disease Services Program. Impact the operation of the Bone Disease Services Program through activities related to financial, compliance, and future program development.

Bone Disease Services Program Operations/Initiatives (35%)

  • Collaborate with BDPT Member institutions of Baylor College of Medicine and UT Health Science Center to develop and implement BDPT operations and initiatives
  • Maintain Lawrence BDPT Member Spreadsheet and Distribution Lists
  • Assist with stewardship responsibilities to the Lawrence BPDT donors, in conjunction with the Director, BDPT and the Development Office
  • Coordinate the development of documents and meeting materials for the annual report to the Lawrence BDPT Program Advisory Committee
  • Assist with planning the Lawrence BDPT annual Research Retreat, workshops, conferences and projects sponsored by the Lawrence BDPT.

Coordinate the MDA Bone Healthcare Clinic:

  • Coordinate multidepartment and divisional meetings and conferences to develop and implement the Bone Healthcare Clinic and related initiatives, e.g. Multidisciplinary Bone Disease Conference
  • Gather operational data for the Bone Healthcare Clinic; assist with identification of opportunities to build upon existing and to initiate new bone healthcare clinic initiatives
  • Assist in coordination and implementation of new initiatives
  • Develop, implement, and communicate marketing activities to promote the Bone Healthcare Clinic
  • Develop and distribute routine and ad hoc activity reports

Bone Disease Research Coordination (35%)

  • Assist the Section Chief, Bone Disease and Mineral Disorders, in the planning and operation of the Bone Research activities
  • Coordinate Bone Histomorphometry Core Laboratory operations, including processing invoices, transfers, purchase authorizations and orders, routine and ad hoc budget reports
  • Schedule meetings and conferences
  • Identify and communicate funding opportunities, including grant, foundations, and philanthropy
  • Provide administrative and financial support to assigned faculty and staff. This may include travel arrangements, travel reimbursement, tracking and monthly reporting of faculty PRS spending, calendar management, correspondence composition, CV and FIS maintenance, journal article and manuscript preparation and proofing.

Educational Initiatives Coordination (20%)

  • Coordinate all aspects of the Bone Seminar Series Monthly Conference. This includes scheduling national speakers, CME requirements for conferences/meetings and educational events, and logistical support (i.e. schedule meetings for speaker with faculty at MDA/BCM/UTHSC, schedule rooms and audio-visual equipment, place catering orders, design and distribute flyers, and follow-up with speakers).
  • Manage the Lawrence BDPT Education Center, located in the waiting area of Endocrine Center
  • Identify and develop funding opportunities and collaborate on the preparation of pharmaceutical and foundation grant applications to support the Bone Seminar Series
  • Manage communications about bone related conferences taking place in the Texas Medical Center, using same distributions lists as those used for the Bone Seminar Series

Special Projects (10%):

  • Develop and determine priorities and monitor status of special projects
  • Use independent judgment and complex analysis to gather facts and determine appropriate solutions generally based on past experience and department practice.
  • Verify compliance with Institutional requirements, guidelines and policies.

EDUCATION:

Required: Bachelor's degree in Business Administration or related field.

Preferred: Master's degree.

EXPERIENCE:

Required: Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.
