The ideal candidate is highly organized, able to work independently, and possesses basic Human Resources knowledge to assist with HR-related tasks as needed.Key Responsibilities:Administrative Support:

  • Assist, handle, and prepare various reports
  • Schedule, coordinate, and manage calendar for President.
  • Provide general administrative support to all departments as required.
  • Maintain office supplies and order new items as needed.
  • Manage and distribute incoming and outgoing mail and packages.
  • Assist with data entry, document preparation, and record-keeping.Human Resources Assistance:
    • Assist in the onboarding process for new employees, including preparing paperwork and coordinating orientation.
    • Maintain employee records and ensure compliance with HR policies and regulations.
    • Support HR in scheduling interviews, screening candidates, and coordinating recruitment efforts.
    • Help organize employee training sessions and maintain training records.Calendar Management:
      • Manage and maintain executive calendars, scheduling meetings, appointments, and conference calls as needed.
      • Coordinate and plan company events, including meetings, conferences, and workshops.Communication:
        • Serve as a point of contact for internal and external stakeholders, addressing inquiries and redirecting communications as necessary.
        • Prepare and distribute internal and external correspondence.Organization and Efficiency:
          • Ensure the office environment is organized, tidy, and conducive to productivity.
          • Identify opportunities to streamline office processes and procedures for increased efficiency.Qualifications:
            • High school diploma or equivalent; college degree preferred.
            • Bilingual (Spanish) is preferred, but not required
            • Proven experience as an office assistant or in a similar administrative role.
            • Basic knowledge of Human Resources practices and principles.
            • Strong organizational and time management skills.
            • Ability to work independently and prioritize tasks effectively.
            • Excellent communication and interpersonal skills.
            • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
            • Attention to detail and accuracy.
